This guide explains how to modify the rights and permissions of a user so that they only have access to certain products or features of your Organization present in the Infomaniak Manager.
Prerequisites
- have a user account with the role Administrator or Legal Representative within the Organization
Note: it is only possible to assign the role of legal representative if you hold that role within the organization yourself. Learn more
Understanding Rights/Permissions
As a reminder, since you opened your account with Infomaniak, you are part of an Organization, your own.
You automatically become the legal representative (all rights + legal responsibility) and can modify the permissions of users in your organization at any time.
You can then determine if the user:
- is part of your Organization
- and if they should become a legal representative (all rights + legal responsibility) like you (for example, for future replacement) + with/without SMS/emails for billing reminders if they are not the only legal representative.
- or an administrator (all rights + with/without SMS/emails for billing reminders).
- or a collaborator (limited rights + with/without billing rights + with/without SMS/emails for billing reminders).
- is external to your organization (limited rights)
External users are not included in the sharing of calendars and address books with the entire Organization.
Modify User Rights/Permissions
To modify a user's role:
- Log in to the Infomaniak Manager (manager.infomaniak.com) using a web browser like Brave or Firefox.
- Click on Users and Profile in the left sidebar menu.
- Click on Users in the left sidebar menu.
- Click on the action menu â‹® to the right of the relevant user in the displayed table.
- Click on Modify Role
- Modify the role (read the different rights above)
- Click the Save button.
A summary email is sent to the user whose role is modified.
View / Modify kSuite Permissions
Click on the relevant user to get the details of their permissions, expand the tabs/accordions by product:
Grant Access to Products in Your Organization
To facilitate adding access rights to a product in your organization, there are Work Teams. These allow you to create groups linked to Infomaniak products with the desired rights, very convenient for granting access to a new collaborator in your Organization for the products they will need in their daily activities.
This guide explains how to modify the kSuite subscription.
This allows you to upgrade to a higher plan, increase the number of users, and expand the disk space for data storage.
Modify the kSuite Subscription
To access the modification of the kSuite subscription:

This guide explains how to link a domain name to the kSuite Infomaniak offer.
Where is your domain name?...
… With Infomaniak, same Organization
If your domain name is registered with Infomaniak and is in the same user account or organization as the email, then there is nothing to do.
- Check out this other guide to check and correct any configuration errors.
... With Infomaniak, same Organization and already linked to a Mail Service or kDrive
No problem, you can transform your existing products into kSuite.
… With Infomaniak, different Organization
If your domain name is registered with Infomaniak but in another user account or Organization, then:
- Edit its DNS zone by specifying Infomaniak’s MX (+ SPF & DKIM).
- Any DNS addition/modification can take up to 48 hours to propagate.
OR
- Move it to the same Organization.
… With Infomaniak using external DNS
If your domain name has DNS that are not those of Infomaniak, then:
- Edit the current DNS zone where it is (if necessary, consult the provider's help) by specifying Infomaniak’s MX (+ SPF & DKIM).
- Any DNS addition/modification can take up to 48 hours to propagate.
OR
- Change the current DNS and select the use of Infomaniak DNS.
- Any DNS addition/modification can take up to 48 hours to propagate.
- Check out this other guide to check and correct any configuration errors.
… Elsewhere with external DNS
If your domain name has DNS that are not those of Infomaniak, then:
- Edit the current DNS zone where it is (if necessary, check out the help from the provider) by specifying Infomaniak’s MX (+ SPF & DKIM).
- Any DNS addition/modification can take up to 48 hours to propagate.
OR
- Change the current DNS (if necessary, consult the provider's help) by specifying Infomaniak’s DNS (this implies having a DNS zone with Infomaniak).
- Any DNS addition/modification can take up to 48 hours to propagate.
- This DNS zone with Infomaniak will be correctly configured but check out this other guide to check and correct any configuration errors.
… Elsewhere but you are transferring it
If your domain name is registered with another registrar and you wish to transfer it to the same place as your Infomaniak email, then:
- Transfer the domain name to Infomaniak (it will be configured correctly but check out this other guide to check and correct any configuration errors).
Change the domain name associated with kSuite
Once the kSuite is functional with a domain name, it is impossible to change it for now.
This guide details the kSuite offering provided by Infomaniak.
kSuite simplifies user management in the enterprise and consolidates your products into a single billing with a unique due date. It also includes advanced user management for all the applications you need for online collaboration.
You choose the domain name, and kSuite is then established according to your needs in terms of the number of users and storage space.
Communicate and Plan
- Mail Service
- kMeet
- kChat

- Newsletter
Collaborate and Share
- kDrive, with docs, grids, and points (even if you already have a kDrive)
- Swisstransfer

Management
- Manager interface with Custom Brand included or optional depending on the offer
This guide is about kSuite and the management of users and their different types of access.
kSuite Users
There are 3 kSuite offers, each including 1 initial user offered during subscription:
- Standard offer comes with 1 free user for life and additional paid users with reduced management; storage space (excluding email volume, which is unlimited) is 15 GB per user
- Pro offer comes with 1 paid user with 3 TB of storage (3000 GB; excluding email volume, which is unlimited) per user
- Enterprise offer comes with 1 paid user with 6 TB of storage (6000 GB; excluding email volume, which is unlimited) per user
Included Email Addresses
Each user is entitled to their email address on the domain name around which your kSuite is centered, with no limit on email storage volume. The email address quota depends on the offer and the number of users:
- Standard: 1 user = 2 email addresses (2 = 4, and so on)
- Pro: 1 user = 5 email addresses (2 = 10, and so on)
- Enterprise: 1 user = 10 email addresses (2 = 20, and so on)
You can assign a kSuite email address to a user who is not part of kSuite.
To get more email addresses, you need to change your offer to increase the number of users. For example:
If you order a kSuite Pro with 5 users, you will have a quota of 5x5=25 email addresses in total in your kSuite, which you can use (for any purpose - creating an email address within the kSuite Mail Service is the same as for a Mail Service outside of kSuite).
Adding a User to kSuite
The quota of users that can be added to kSuite must be sufficient; adjust the kSuite offer if necessary.
To access kSuite management:
- Log in to the Infomaniak Manager (manager.infomaniak.com) using a web browser like Brave or Firefox
- Click on the icon in the top right corner of the interface (or navigate using the left side menu, for example)
- Select kSuite (under the Collaborative Tools section)
- Click on the action menu â‹® in the Users section
- Click on Add a User
Two possibilities are offered:
a. Add a user who has no connection with the organization where kSuite is located
b. Add a user who is already part of the organization where kSuite is located
In both cases, follow the wizard while carefully reading the instructions.
It is not possible to add a user so that they have access only to kDrive or only to kChat separately. In this case, you should use sharing functions to allow third parties to temporarily join kDrive.
This guide (click here) explains how to add an external user to the organization so that they can use kChat and kDrive without direct visibility of the products on the Manager.
This guide details how data storage works for your various kSuite products.
kSuite Storage Space
The storage space used is:
- shared among the different users of your kSuite
- and shared among some of the products that make it up (e.g., kDrive and kChat)
The total storage space depends on your subscription and the number of users chosen:
- it corresponds to the maximum amount of storage space that can be used by all your users
- there is no per user quota
Increase or Decrease kSuite Storage Space
Need more space to store your kSuite data?
- Change your plan and add users or upgrade to a higher plan including more users
- the more users included in your plan, the more storage space will increase
You can also recover storage space by permanently deleting kDrive or kChat files. Data from the Mail Service is not counted in kSuite storage.
It is not possible to:
- reduce the storage space
- decrease below a certain number of kSuite users depending on the available and already used storage
The kSuite offer does not include a Web hosting service offered by Infomaniak.
Of course, it is possible to subscribe to a Infomaniak Web Hosting from the same user account and/or the same organization and build your website with the tool of your choice such as WordPress or Site Creator.
This guide explains how to broadcast an online meeting via kMeet in a separate stream accessible through a unique URL using Infomaniak's Video Streaming.
Preamble
- Broadcasting a conference-type meeting in a Video Streaming stream rather than within the kMeet app offers several advantages:
- Public large-scale broadcasting without limiting access to an audience restricted to invited participants.
- Attracting a wider audience, such as conferences, webinars, or live events, where hundreds or thousands of viewers can follow the event without joining a private call.
- It allows you to reach an unlimited number of viewers.
- No need to manage access for each participant, the stream can be viewed via a simple link.
- Only a web browser is required to access the streaming feed.
- Passive access: viewers are not forced to participate actively or interact; they can simply watch the event without registering or logging in, which is better suited for large events.
- No voice interruptions or microphone-related disturbances; this keeps the stream smoother and focused on the speaker.
- Higher streaming resolution when kMeet might be limited by bandwidth constraints and lower video quality to avoid network overload.
Create the Video Streaming sharing link
Requirements
- Streaming a kMeet video feed within a Video Streaming feed is possible with the kSuite Pro or Enterprise offer only.
- You must be a moderator of the kMeet to create a live streaming link, but it is not necessary to have an Infomaniak Video Streaming offer.
Then:
- Start kMeet via kmeet.infomaniak.com or from one of the apps for desktop or mobile devices.
- Once in the meeting, click on the action menu â—‹â—‹â—‹ in the kMeet toolbar.
- Choose Start live streaming:
- Click the Start button:
- Wait for the Video Streaming feed to be created:
- Once the stream link is displayed in the same place, click on the icon on the right to copy the URL for the live stream; paste the URL into a message to participants or anyone who needs to attend the live stream.
- A symbol on kMeet and an audio signal will indicate the start of the live stream via Video Streaming:
The stream will run continuously for up to 24 hours, and will no longer be accessible once the kMeet meeting is stopped.
