This guide concerns files attached by your correspondent that appear in the winmail.dat format when they arrive at your Infomaniak-managed email address.
These files are in no way dependent on the incoming or outgoing mail provider. It is a Microsoft-specific issue, as indicated on their support page or this page (in English).
What is winmail.dat?
The issue with "winmail.dat" attachments is quite common and can occur when sending emails from Microsoft software/clients such as Outlook. The "winmail.dat" format is used to encapsulate formatting information, attachments, and contacts within the message. However, this can cause problems when recipients use other software/clients that cannot correctly interpret this format.
Resolving the Attachment Reading Issue
Ask the sender to:
Resend the message without using the "winmail.dat" format, by using a standard email format such as HTML or plain text when sending messages, and/or disabling RTF formatting in Outlook settings before sending the email:
- Disable sending in RTF format for recipients who are not using Microsoft software/clients. To do this, they need to open your contact record in their contact list, go to the "Email Address" tab, and select "Send in plain text only"
- Compress the attachment into a standard zip file before sending it
- Use another software to send their message, such as Thunderbird, for example
If you do not wish to contact them again:
- Use free websites and online tools to decrypt the content and convert the "winmail.dat" file into a more or less readable format

Prerequisites

Add the email address to the application
To configure the email application:
- Open the application
- Click on the Tools menu
- Click on Options:
- Click on the Email Settings tab
- Click on Email Accounts...:
- Click on New:
- Click on Manually configure server settings
- Click Next:
- Click the Internet Email button to connect to an IMAP server
- Click Next:
- Check and complete any missing information
- Click More Settings:
- Click the Outgoing Server tab:
- Check My outgoing server (SMTP) requires authentication
- Click the Advanced tab:
- Replace the port numbers with the correct information and enable SSL
- Click OK:
- Click Next:
- Click Finish:
- Click Close:
- That's it, your email address is now configured in the application:

Is a domain name required?
Except for the free @ik.me email offer (+ etik.com, etc.), an email address at Infomaniak is always created within a Mail Service, and this Mail Service revolves around a domain name which must exist and be configured for the email service to work.
Example: If you want the address jean.dupont@domain.xyz ‍, you need to:
- own the domain name "domain.xyz"
- obtain a Mail Service "domain.xyz"
- create the email address "jean.dupont"
All of this is offered and requested during the ordering process on infomaniak.com (see below), preceded by the mandatory creation of a user account (for which you will need to provide your personal email address, or an already existing address in any case).
If the corresponding domain name is already registered with an external registrar, you may need to provide the correct MX records in the DNS zone.

To order a first Mail Service:
- log in to the Infomaniak Manager (manager.infomaniak.com) from a web browser like Brave or Firefox
- click on the gray line Mail Service
Want an additional Mail Service:
To add a new Mail Service (to get new addresses on a different domain):
- log in to the Infomaniak Manager (manager.infomaniak.com) from a web browser like Brave or Firefox
- click on the ‍ icon in the top right of the interface (or navigate using the left sidebar menu, for example)
- choose Mail Service (in the Collaborative Tools section)
- click on the shopping cart above the table that displays:
Want to increase the number of email addresses available on an existing Mail Service:
To increase the quota of available addresses:
- log in to the Infomaniak Manager (manager.infomaniak.com) from a web browser like Brave or Firefox
- click on the ‍ icon in the top right of the interface (or navigate using the left sidebar menu, for example)
- choose Mail Service (in the Collaborative Tools section)
- click on the name of the relevant item in the table that displays
- click on the shopping cart:
Once the Mail Service is activated:
• create your email addresses
• configure your emails on your computer and devices
• sync your contacts & calendars on your devices
• import your content (including content from another provider)

This guide explains in 2 methods how to change the billing frequency of services subscribed to with Infomaniak.
Change the billing frequency
The first method is to change the frequency during a payment:
- Log in to the Infomaniak Manager (manager.infomaniak.com) from a web browser like Brave or Edge
- Click on Accounting in the left sidebar
- Click on To pay in the secondary sidebar
- Select the relevant product
- Click on the dropdown menu to the right of the relevant item to change the payment frequency
- Click on the blue button to pay the selection and change the billing frequency of the selected product
The second method is as follows:
- Log in to the Infomaniak Manager (manager.infomaniak.com) from a web browser like Brave or Edge
- Click on the type of products concerned (e.g., hosting, Cloud Server, etc.)
- Click on the name of the product concerned
- Click on the Manage button
- Click on Change offer
- Choose the desired billing frequency (only possible from a certain amount)
- Confirm the change
If you switch from annual to monthly billing or quarterly to monthly, only change the billing frequency during the month preceding the end of the current term. For example, if you paid for or renewed your Cloud hosting for 1 year on January 1, 2023, do not change the billing frequency before December 1, 2023, otherwise you will be billed again for all remaining months of the year 2023 and it will be necessary to contact our customer service for a refund.

from Mail Infomaniak in a web browser
To save an email from Mail Infomaniak:
- log in to Mail Infomaniak (mail.infomaniak.com) using a web browser like Brave or Edge
- open the message to download
- click on the action menu â‹® to the right of the open email
- select Download
from the Infomaniak Mail mobile app on iOS / Android

from the Thunderbird email software/client
The Save As... function in an email software/client like Thunderbird allows achieving the same result:
- open the Thunderbird software
- in the inbox, right-click on the message to save
- choose the location to save the .eml file

Using authenticated SMTP to send emails from your applications offers advantages in terms of security, reliability, error management, compatibility with third-party servers, and traceability compared to using unauthenticated PHP mail.

Example of SMTP Configuration
If you have an email address associated with your website domain (email@domain-site.xyz e.g.), enter its details to use it for sending from the web server via SMTP:
on WordPress
- log in to the WordPress admin dashboard
- install an SMTP plugin (WP Mail SMTP works)
- configure the plugin, e.g.:

From then on, an email sent from a contact form present on the site (default Divi form e.g.) will be sent via SMTP. To verify, simply check the headers of a message received this way, especially the x-mailer
line which may mention, for example, WPMailSMTP/Mailer/smtp
instead of PHPMailer
.
Note: the x-mailer can be any indication not necessarily representative of the actual sending method
on Prestashop
- log in to the Prestashop admin dashboard
- go to Advanced Parameters then Email
- configure sending via SMTP:
Then check (to avoid an error like Could not instantiate mail function
or sender mismatch
) that the address you configured in these advanced settings matches the address used by Prestashop when sending emails. To do this:
- log in to the Prestashop admin dashboard
- go to Store Settings
- click on Contact in the left sidebar
- in the Contacts tab, verify that the email address mentioned is the same as the one configured earlier
- edit email addresses if necessary
- click on the Stores tab
- verify (and correct if necessary) that the mentioned email address is the same as the one configured earlier
on Joomla
- log in to the Joomla admin dashboard
- click on System in the left sidebar
- click on Global Configuration
- click on the Server tab

Phishing, Fishing, Scamming...
Phishing is a fraud and scam attempt aimed at obtaining sensitive information in a fraudulent manner.
Typically, the victim receives a message in their email that appears to be from Infomaniak, their bank, or a trusted organization, indicating that a problem has occurred with their account.
The purpose of this identity theft is usually to voluntarily direct the user to a page and communicate private information that will then be exploited for various purposes, mainly financial.
Prerequisites
- check that the spam filter is active
- for added security, activate the external mail tag
How to Report a Phishing Email
To do this:
- log in to Infomaniak Mail (mail.infomaniak.com) from a web browser like Brave or Firefox
- open the phishing message and click on the action menu â‹® on the right
- from the menu that appears, select Report as phishing:
- confirm to send for processing
- delete the email
Once you have clicked on Report as phishing, an email is automatically sent to Infomaniak with all the necessary information for handling the scam report.
In case of a more serious problem (when the message is directly addressed to you by an acquaintance or a contact without it being a large-scale sending) it is recommended to reach out to an organization like www.report.ncsc.admin.ch.

Introduction
- if your domain name is registered with Infomaniak, your email is managed by Infomaniak, but your website is hosted with another provider (e.g., Wix), you probably manage the DNS zone (and thus the SPF) with that other provider: read this guide for more information
Understanding SPF Records
The SPF (Sender Policy Framework) record type is a standard for verifying the domain name of an email sender and aims to reduce SPAM.
It serves to indicate which server is allowed to send emails for a domain.
If the SPF fails for an email, it means that the email was not sent from a server/IP address authorized by the sending domain administrator.
The email is then considered spam.
Moreover, Infomaniak automatically sets up this type of record when creating a Mail Service for your domain (strict SPF):
v=spf1 include:spf.infomaniak.ch -all
Thus, the recipient's server of the email you send will evaluate that any mail not coming from Infomaniak servers will be rejected. This prevents malicious parties from spoofing email addresses from your domain name.
However, you can also decide to modify the SPF to a more flexible model:
v=spf1 include:spf.infomaniak.ch ?all
In this case, the recipient's server of the email you send will evaluate according to its own rules whether it accepts emails not coming from Infomaniak servers.
To summarize:

Add Multiple SPF Records
If you are using email providers in addition to Infomaniak, you need to obtain their SPF and then merge it with Infomaniak's according to a specific syntax.
Example of 3 SPF records:
- Infomaniak's:
v=spf1 include:spf.infomaniak.ch -all
- those from 2 secondary providers:
v=spf1 include:the-second-domain.xyz ?all
v=spf1 include:the-other-domain.xyz ~all
... the final SPF to insert into your DNS zone should be in the form:
v=spf1 include:spf.infomaniak.ch include:the-second-domain.xyz include:the-other-domain.xyz -all
Remove any other SPF entry from your domain's DNS zone!
