Getting started: Discussion list
This guide concerns the Mailing List service offered exclusively to Infomaniak users who have previously activated it and for whom a migration of the tool has been performed at the end of 2024 / beginning of 2025.
Introduction
- The mailing list service differs from traditional email or a newsletter service through unique features:
- Allowing users to subscribe to a "subscription" via a simple sign-up form whose code is provided.
- Allowing one or more designated moderators to approve or deny sign-ups, send messages to subscribers, and moderate replies from members before publication.
- Allowing users to contribute to the discussion by replying to a unique address which automatically redistributes the emails to other members.
- Offering an easy and GDPR-compliant unsubscription option.

The sign-up forms (HTML code) that may have been previously integrated on various pages must be generated again and re-integrated in order to function (see the Forms section below).
Accessing the Mailing List
If the mailing list service has been activated in the past, it is accessible within your Mail Service:
- Click here to access the management of your Mail Service on the Infomaniak Manager (need help?).
- Click directly on the domain name assigned to the concerned product.
- Click on Mailing List in the left-hand sidebar menu:
Creating and Configuring the Mailing List
To create a new mailing list:
- Click on the Start button …
- … or click on the button above your existing lists:
Otherwise:
- Edit an existing list by clicking its name:
- Click on its Configuration tab:
The necessary settings for the system to work properly are as follows:
- A mailing list revolves around an email address that must not already exist on the Mail Service of the concerned domain (and cannot be created on it or modified later).
- You can give the list a name to identify it more easily if you have multiple lists or if the email address is not sufficiently explicit.
- You can also add a further description.
- You must define the email address(es) that will be moderators (= highest permission on the list).
- You can set a language for your mailing list.
- The setting of “who can subscribe to the list” is important:
- You can specify that the user must confirm their registration (in addition to a moderator).
- The setting of “who can write to the list” is equally important:
- You can use the service as a one-way tool, for example, for broadcasting information, or as a two-way tool for exchanging information, including with non-members (with moderation)...
Click on Advanced Options.
- You can configure whether responses should be addressed…

- … to the list as if coming from the list's own email address
- Allow limiting the size of emails sent via the mailing list (especially when adding an attachment).
- Allow customizing a message that will be automatically sent to an email address when they subscribe to the list.
- Allow customizing a message that will be automatically sent to an email address when they unsubscribe from the list.
- Click the button to save.
Subscription (based on the settings in point 6 above)
- Subscribers can sign up by sending an email to an address of the form
list-name-join@list-domain
. - They can also be manually added by the moderator via the interface, in which case they will receive a notification email whose content can be customized.
- If a subscription made by a subscriber needs to be approved by a moderator, the moderator will receive an email:

Unsubscription
- Subscribers can unsubscribe by sending an email to an address of the form
list-name-leave@list-domain
. - Upon unsubscription, a confirmation request message is sent to the user:

with the subject specified in the confirmation email and an empty body).

Sending / Receiving Messages
- Each subscriber can create a Mail signature and choose their name when sending the email.
- A footer is automatically added to each message sent via the mailing list:

Message Moderation
- To reject a message, the moderator must click on the “
mailto:
” link, which generates a new message that can be sent to an address of the formlist-name-request@list-domain
. - When a moderator is also a member of the list, they do not receive messages they send themselves, but of course, they will receive messages sent by other moderators.
Forms (Subscription/Unsubscription)
To offer a website visitor the option to subscribe to your list, it is possible to generate a code that can be inserted on the site of your choice; example with Site Creator:
The Form tab allows you to specify the URL to which the user will be redirected after subscribing or unsubscribing:
- In case of an error when using the form, an error page may display the email address
