Manage users kDrive
This guide explains how to add, block or delete a user from a kDrive To learn more about managing users' rights, read more about this other guide.
Prerequisites
- The user will need to create (or own) an Infomaniak account to accept the invitation and join the kDrive.
Add User
To this end:
- Click here to access the web app kDrive Infomaniak (online service) kdrive.infomaniak.com).
- Check or select the relevant kDrive from the drop-down menu in the left side menu.
- Click on the action menu to the right of the item.
- Click Invite New User:
- Click on:
- Add a user to the Drive to choose a user already present in your Organization,
- Add a user to my organization to invite an external user.
- Enter the email address of the user to invite and specify their rights.
- Click Invite.
The user will then receive an email that will allow him to accept the invitation (valid 1 month). It will be indicated as a waiting guest user in the user management of kDrive.
With kSuite it's pretty much the same thing:
Block a user
This feature prevents a user from accessing files from the web interface of kDrive and from the application on a device:
- Click here to access the web app kDrive Infomaniak (online service) kdrive.infomaniak.com).
- Check or select the relevant kDrive from the drop-down menu in the left side menu.
- Click on the action menu to the right of the item.
- Click Manage Users.
- Click on the action menu to the right of the user in the table that appears.
- Click Block User and confirm action:
To unblock a user, simply follow the same procedure.
How to delete a user
If a user leaves your company or team, there are several options available to you as an administrator. You can choose...
- ... block the user for a certain time (see above).
- ... completely delete the user and his files.
- ... delete the user and keep his files for 6 months.
- ... delete the user and transfer his files to another user.
Actions to remove a user:
- Click here to access the web app kDrive Infomaniak (online service) kdrive.infomaniak.com).
- Check or select the relevant kDrive from the drop-down menu in the left side menu.
- Click on the action menu to the right of the item.
- Click Manage Users.
- Click on the action menu to the right of the user in the table that appears.
- Click Remove User
- Choose whether or not to store the user's data:
- Keep the user's files for 6 months or transfer them to another user.
- Delete user files immediately and permanently.
- Click Delete Access Rights.
Remove an external user from kDrive
External users are those to whom you have only shared one or more files/folders without giving them access to the complete kDrive:
To remove an external user:
- Click here to access the web app kDrive Infomaniak (online service) kdrive.infomaniak.com).
- Check or select the relevant kDrive from the drop-down menu in the left side menu.
- Click on the action menu to the right of the item.
- Click Manage Users.
- Click on the action menu to the right of the relevant external user in the array that appears.
- Click Remove Access to kDrive:
You can also go to the location of the shared file and click on the share column to remove access to the user concerned:
You can:
- Stop sharing the file with it (it will continue to see the other files if you have shared others)
- remove its access to all files you have shared with it from this kDrive
Note that the external user can also withdraw himself by shutting down access to the shared file if he no longer wishes to access this file:
It will no longer appear in external users.
