Create a signature template for your mail
This guide explains how to create a model for the signature tool for all your email on the web app Mail Infomaniak (online service) mail.infomaniak.com).
Preamble
- A template allows you to create the neutral base of a tool that can then be used by several users of the same Infomaniak Mail Service, or even customized according to the person who will use it.
- In the case of a model of signature, the creator of the model creates the style of the signature, he also chooses the element(s) that will have to be present, and it is up to the end user, from his Mail, to complete certain details of his signature.
- You can also hide a template so that it is no longer used.
Create a signature template
To create a template:
- Click here in order to access the management of your product on the Manager Infomaniak (Need help?).
- Click directly on the nameallocated to the product concerned.
- Click on Global Configuration in the left side menu.
- Click on the tab Signature.
- Click on Add a signature template:
- Select the model type.
- Click the blue button Continue:
- Depending on the model define fields, social information, imaged content, etc. and whether the content will be automatically completed depending on the user or whether the information should be fixed now.
- Click the blue button Continue:
- Give the model a name.
- Decide whether this model should be Implemented users of existing addresses on the Mail Service.
- Click the blue button Finish or save as a draft according to the choice in point 11:
Fields and variables available (see point 8 above)
In addition to writing a single signature template, you have the possibility to insert in the necessary places information that will be adapted from the information automatically repeated of the user but also manually completed by the latter:
- Name
- First name
- Telephone number
- Title of post, etc.
Thus, users who have access to this signature template will simply be able to enter either of these information in boxes below the signature writing window, without worrying about the graphic design of the signature itself.
Apply signatures to users from this template
Click on the action menu 的to the right of the signature model:
You can edit the signature, duplicate it to create a different signature for some people from this template, and delete it.
Another option allows to create signatures for different users using domain email addresses:
- They will be notified by e-mail that a new signature is available.
- For e-mail addresses Shared (e.g. contact@domaine.com), if you want a generic signature that uses this template, without it being associated with a specific user, you need to configure it yourself from the Web Mail Infomaniak app (online service) mail.infomaniak.com) or the Mail Service.
The users of the Mail Service will then be able to...
- ... use the new signature created from this template
- ... add their personal information
Enable a template on an existing email address
It is necessary to have an existing template to activate it on one or more email addresses:
- Click here in order to access the management of your product on the Manager Infomaniak (Need help?).
- Click directly on the nameallocated to the product concerned.
- Click on the boxes to select one or more e-mail addresses in the table that appears.
- Click on the action menu ⋮ then on Apply a signature template.
- Select the model of your choice.
- Click on the button Enable:
